What is an AI agent and does your business actually need one?

The term "AI agent" is everywhere right now — and it's being applied to everything from a basic chatbot to complex multi-system orchestration. That makes it hard to know whether your business actually needs one, or whether a simpler solution would work just as well.

Here's a jargon-free explanation of what AI agents actually are, what they can do, and when they're worth the investment.

An AI agent isn't just a chatbot. It's a system that can take actions on your behalf — not just answer questions.

What makes something an "agent"?

A chatbot answers questions. An AI agent takes actions. The difference is meaningful.

When you ask a chatbot "what time is Ethan available on Thursday?" it looks up the answer and tells you. When you ask an AI agent the same question, it checks the calendar, finds an available slot, books the appointment, sends the confirmation, and adds it to your CRM — without you doing any of that manually.

Agents are autonomous. They're given a goal, they have access to tools (calendars, databases, email, CRMs), and they complete multi-step tasks without needing a human to approve each step.

What can an AI agent do for a small business?

The most practical applications for businesses under 50 staff:

  • Enquiry qualification: Receives an inbound enquiry, asks clarifying questions, scores the lead, and routes it to the right person
  • Appointment booking: Handles the full conversation from "I'd like to book" to confirmed appointment — including rebooking and reminders
  • Proposal drafting: Takes a brief from a sales call, pulls from your service library, and produces a first-draft proposal for human review
  • Follow-up sequences: Monitors deal stages and triggers personalised follow-up based on what's happened — not just a fixed timer

What agents can't do (yet)

AI agents are not a replacement for human judgment in complex situations. They're not reliable for legal or financial decisions, for managing unhappy clients, or for situations where the context is ambiguous and the stakes are high.

The best agents are designed with a clear escalation path: when a situation exceeds their brief, they hand off to a human immediately rather than attempting to resolve it.

Design every agent with an exit ramp. The most important thing an agent can do is know when to hand off.

Does your business actually need one?

Probably not yet — and that's fine. Most small businesses get more value from simpler automation (missed call follow-up, quote sequences, onboarding) than from a full AI agent deployment. Start there.

You're ready for an AI agent when:

  • You have a high volume of repetitive, multi-step interactions (50+ enquiries per month)
  • The interactions follow a predictable pattern that can be documented
  • A human is currently spending significant time on that workflow
  • You have the systems (CRM, calendar, database) that the agent can connect to

If all four are true, an agent is worth exploring. If not, start with a simpler automation and revisit in six months.

The honest bottom line

AI agents are powerful. They're also genuinely complex to build well. The businesses that get real value from them are the ones that start with a specific, documented use case — not a general ambition to "add AI."

If you're curious whether your business is ready for an agent, the best first step is mapping out your highest-volume workflow and counting how many steps a human is currently doing manually. If that number is more than five, there's probably an agent worth building.
