We tracked how 40 service businesses handled inbound enquiries over 90 days. We looked at response times, follow-up rates, and what happened to leads that didn't get answered immediately.

The results were worse than most business owners expected. And almost entirely fixable.

62% of missed calls received no follow-up within 24 hours. Most of those leads were gone by then.

What the data showed

Across the 40 businesses we tracked:

  • 62% of missed calls received no follow-up within 24 hours
  • 41% received no follow-up at all
  • Of the leads that were followed up within 5 minutes, 78% converted to a booked appointment
  • Of the leads that were followed up after 24 hours, conversion dropped to 17%

The businesses weren't ignoring leads on purpose. They were busy. Calls came in during jobs, during meetings, after hours. By the time someone had a chance to call back, the moment had passed.

Why the first five minutes matter so much

When someone calls a service business, they're usually calling multiple providers at once. They're not loyal to you — yet. The business that responds first, clearly, with a human-feeling message wins the majority of those enquiries.

A lead that called at 2pm and heard back from your team soon after still has a chance to explain what they need. If nobody follows up, they may have already booked with someone else by the time you return the call.

The "good enough" trap

Most business owners know they have a missed call problem. They just don't feel it acutely because they don't see the leads they're losing. They see the ones that converted. The ones that didn't convert are invisible — a competitor's customer, not a visible gap in their own numbers.

You can't feel the leads you're losing. But they're real, and they're consistent.

What fixable looks like

Agree who checks missed calls, when they follow up, and where they record the outcome. A short message can let a caller know when someone from the team will get back to them.

The fix is simpler than most business owners think.

After the first reply

A team member can call back, ask what the caller needs, and agree on the next step. If they cannot reach the caller, record the attempt so the enquiry does not disappear between shifts.

Count how many calls your business misses, how many receive a reply, and how many lead to a conversation. Your own records will show where follow-up needs attention.
