When the work looks like what a product already does, buying is usually the shorter path. The audit has already agreed the requirement, so the job is to find the product that meets it and get your team using it. We test the software you already own first. If an existing tool can meet the requirement with better configuration, that becomes the recommendation.

We start from the audit, not from a product list. The requirement is written in plain terms: the problem being solved, in the words your team uses. It sets out what the software must do and what it must connect to, such as your accounting package, email or existing job records. It names who will use it every day, because a tool the office loves and the field avoids has not solved anything. It also states what the software must not do, whether that is changing how you invoice, moving data offshore or adding steps for staff. Everyone judges the options against the same written requirements.
ShortlistNarrow to two or three options and test them with your team.
From the requirement we narrow the market to two or three options, not twenty. We book demos and run them with your team in the room, so the people who will use the tool get to try it against real jobs. We check that each option connects to the systems you already run, and we check how it handles data, including whether Australian data handling is available. We check current pricing against the way your business would actually use it. Each demo is scored against the requirements brief, and the notes are kept. You see how every option performed, including the ones that did not make the cut.
Select and set upRecommend one, configure it, migrate data and train the team.
We recommend one option and explain the reasoning in writing, so you can see why it won. Once you agree, we configure it around your workflow rather than its defaults. We migrate your existing data, such as client records, price lists or open jobs, and check it arrived intact. We run the first training session with your team using their own work, then hand over with the settings, the logins and a plain description of how it is set up. Your team knows who to ask, and the account sits in your name. The goal is a tool people use on Monday morning, not one that sits unopened.

If a tool you already own meets the requirement, we say so before you buy another subscription. You keep the account in your business name and can question the recommendation before choosing. Our work is the selection and setup, with the reasoning recorded so the decision is yours.

When the workflow needs a custom build.
Some workflows are too specific for a product. The steps are unusual, the rules are your own, or the integration is the hard part, and the software would need so many workarounds that the team stops trusting it. Questions about AI Software Matchmaking
Do we need an audit before software matchmaking?
We work from agreed audit requirements, so yes, the requirement needs to be written down first. If the audit has not happened, that is where we start. Targeted Discovery is the engagement that produces a Solution Proposal for one problem.
Can we keep using the tools we already have?
Often, yes. The first question is whether your current software can do what is needed. If it can, we say so and help you get more from it. We look outside only when it cannot.
Will our team be involved in the demos?
Yes. Demos run with your team in the room, because the people who use the tool every day are the best judges of whether it fits their work. Their reactions go into the scoring.
Does the software have to include AI?
No. We choose the product that meets the requirement. Some will include AI features and some will not. AI is only part of the answer when it helps your team and removes repetitive work.
How do you handle Australian data requirements?
Data handling is checked for every option on the shortlist, including whether Australian data handling is available. If your business or your clients need data kept in Australia, that is written into the requirements brief and the options are judged against it.
Who owns the software account and subscription?
You do. The account is set up in your business name and we hand over the logins and settings. We do not resell the software or hold the subscription on your behalf.
